Hello HR is committed to data security and the fair and transparent processing of personal data. This privacy policy sets out how Hello HR treats personal data.  
 
Please read this Policy carefully as it contains important information on who we are, how and why we collect, store, use and share your personal data, your rights in relation to your personal data, how to contact us, and how to contact the regulator in the event that you would like to report a concern about the way in which we process your personal data. 

Where there is a contract with you as an individual or there is one between our businesses, we will retain your personal data for the duration of the contract, and for a period of seven years following its termination or expiry. This is to ensure we are able to comply with any contractual, legal, audit and other regulatory requirements, or any orders from competent courts or authorities.  

Where you have consented to marketing communications, or where we are marketing to you because it is in our legitimate interests to do so, you may change your preferences or unsubscribe from marketing communications at any time by emailing kim@hellohr.uk  

We will not delete your personal data at this time but will ensure you details are updated to comply with your wishes.

Personal Data we process and how we process it. 

We will process your personal data when you: 

  • complete a form on our website; 

  • complete a survey; 

  • correspond with us by phone, e-mail or in writing; 

  • report a problem 

  • enter into a contract with us to receive our products and/or services 

In each case we will collect your name, e-mail address, postal address telephone number and job title as a minimum. We may also collect your social media information such as your username. 

Who we share your data with 

We take all reasonable steps to ensure that our staff protect your personal data and are aware of their information security obligations. We limit access to your personal data to those who have a genuine business need to know it.  
 
We may also share your personal data:  

  • Where we are acting on a legitimate request from law enforcement authorities 

  • Where we are obtaining legal and other professional advice 

  • Where we use third party service providers contracted to us in connection with provision of the products and services such as providers of IT services and customer relationship management services 

  • analytics and search engine providers that assist us in the improvement and optimisation of our website.  

Where required we will ensure there is a contract in place with the third party which meets the requirements of UK GDPR.  

Where a third-party recipient is located outside the UK, we will ensure that the transfer of personal data will be protected by appropriate safeguards; namely the use of standard data protection clauses adopted or approved by the ICO where the ICO does not believe that the third country has adequate data protection laws. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:  

  • Your consent. You are able to remove your consent at any time.  

  • We have a contractual obligation. 

  • We have a legal obligation.  

  • We have a vital interest. 

  • We need it to perform a public task.

  • Your right of access - You have the right to ask us for copies of your personal information.  

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.  

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.  

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.  

  • Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.  

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.  

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Complaints 

If you believe that your data protection rights may have been breached, and we have been unable to resolve your concern, you have the right to lodge a complaint with the ICO. The ICO will normally request that you discuss your complaint with us first.
